Product & Contracting Executive at Sense of Africa August 2024
About the Opportunity
We
are seeking capable Product & Contracting Executives to join our
team in our Tanzania (Arusha) office. As a successful candidate, you
will be responsible for putting together and updating the product
programs as well as contracting the best possible rates, offer
overrides, credit facilities, and terms and conditions from both
existing and new suppliers.

2.1 Specific responsibilities/day-to-day activities Product

  • Compilation of different programs for different agents using the company standard format
  • The
    effective population of the rates using the different costing sheets
    for different agents while ensuring that the rates are accurate, as per
    the agreed contract rates, and the right set of margins for different
    agents are applied accordingly.
  • Effectively work on a rate
    comparison table on each costing sheet which helps show and understand
    the rates difference from the previous years/current year and make a
    decision on what to offer to the clients
  • To work within the
    given timelines for each product and deliver in good time as well as
    give ideas on how best we can improve on a certain product if need be
  • Effectively
    correspond with agents and create a good relationship with all by
    ensuring that they have all the accurate information they require
  • Must
    be able to understand which products are offered to which agents and in
    what formats/Margins, ensuring that the right information is given to
    the particular agent.
  • Be attentive to detail at all times when working on each product as they differ from one agent to another

2.2. Specific responsibilities/day-to-day activities in Contracting

  • In coordination with the database team, ensure accurate loading of data and contracts in the Tourplan and B2B system and on time
  • Providing guidance and satisfactory solutions to any complaints, queries, and errors that may arise from the master data
  • Effective communication with suppliers to uphold, improve, and safeguard the corporate image and identity of the company.
  • Assist
    in managing suppliers through constant communication, evaluating
    performance, seeking common ways to enhance performance, and regular
    updates
  • Assist in resolving complaints and administrative issues
    of our suppliers and hotels as well as maintaining and updating
    supplier inventory with all necessary information
  • Negotiating special offers with suppliers to maximize sales
  • Reviewing the existing contracts in response to changing trends and market needs
  • Assisting the sales team in understanding supplier contracts and data format, terms & conditions as well as rates status

3.0 Minimum Requirements:

  • Bachelor’s degree/College Diploma in Tour Operations or Business Management/Database Administration.
  • At least 2 years of working experience in the tourism industry with knowledge in East Africa.
  • Excellent product knowledge of the tourism industry and East Africa geographical region.
  • Demonstrated ability to build effective relationships with excellent communication skills.
  • Willingness to work within a flexible schedule.
  • ICT Proficient, Tourplan knowledge is a desired competence.
  • Strong analytical and logical skills, strong negotiation and problem-solving skills.
  • Excellent customer service and supplier relationship management.
  • Must be able to flexible and willing to learn new ideas.

Tour Consultant
Tour Consultant at Sense of Africa August 2024
Specific responsibility/day-to-day activities
Tour Consultant reports directly to the Team Leader in their market cluster.
Bookings Management:

  • Accountable for the daily processing of all relevant incoming requests, according to set standards.
  • Receive inquiries, open tour files, evaluate and respond, prepare quotations
  • Confirming
    bookings, processing all administrative functions such as booking
    tours, making reservations, receiving confirmations, reconfirmations,
    maintaining tour files, invoicing Agent
  • Issue vouchers as applicable to suppliers.
  • Attend to all supplier queries relating to tour files
  • Prepare
    tour file, guest envelope, book vehicle; calculate water allowance,
    brief tour guide on all pertinent aspects of the tour.
  • Ensuring all tour-related data is input into the Tourplan System.
  • Complete all final activities before closing files.
  • Ensure all booking SOPs are adhered to.
  • Develop and maintain close agent relationships.
  • Updating all received requests on the Hub on a timely basis.
  • Ensuring that Agent / VIP tours are communicated to the Team Leader well in advance.
  • Informing
    the Team Leader on challenges the team members could be facing,
    including payment delays and waitlists to get solutions in good time.
  • Assisting and guiding other consultants daily as required by the Senior Consultant/Team Leader.
  • Conduct
    regular quality assurance checks to ensure all files are consistently
    and accurately updated electronically and in physical files.
  • Communicate closely with the Team Leader and Head of Reservations
  • Assisting with tasks and any other duties as required by the Team Leader/management.

Quotations:

  • Acknowledge agents’ emails and prepare accurate and detailed tour proposals promptly.
  • Timely
    acknowledgment and actioning of tour requests from agents as per set
    guidelines (24-hour acknowledgment on receipt of email).
  • Ensure accuracy in tour package offers.
  • Prepare creative and detailed proposals in the right format.
  • Ensuring all quotations are captured in the Tour plan.
  • Ensuring quick turnaround time and professional communication
  • Conversion rate of 15% or more.

Reservations:

  • Ensure bookings are captured correctly in Tour Plan and all services are booked.
  • Ensure that bookings are correctly captured in the Tour Plan and supplier vouchers are dispatched promptly.
  • Understand and correctly process cost and gross prices in your plan.
  • Pursue better yielding on file revenue by negotiating with suppliers for better rates, cancellation fees, and FOCs.
  • Ensure bookings are balanced in the tour plan.

Streamline File Operations:

  • Preparation of booking documentation as per the set guidelines
  • Compile high-quality documentation for clients without errors
  • Ensure handover documentation to operations teams is done 14 days (2 weeks) before clients’ arrival.
  • Prepare File checklist 45 days (1 and a half months) before file operations.

Financial Control:

  • Ensure costs are captured correctly on the Tourplan, files are invoiced and have correct margins.
  • Constantly ensure margin control for each agent as per the set mark-up guidelines in the tour plan.
  • Ensure all bookings are invoiced on the Tourplan by the month’s end.
  • Ensure payments to suppliers on prepayment are made promptly.
  • Minimize Credit Note refunds on files due to misquoting or booking of incorrect services.
  • Ensure files are paid for by agents without credit facility promptly.

Minimum requirements

  • Relevant degree-level education preferably in Tourism and Hospitality Sectors.
  • Minimum of 2 years’ experience in a similar role.
  • Strong Communication skills; both verbal and written formats
  • Strong Customer Service and Excellent interpersonal skills across all levels
  • Attention to detail and with an analytical mind
  • Time Management and Organization Skills
  • Stress Management and conflict-handling skills
  • ICT Proficien
  • Proficiency in English and a foreign language will be an advantage.
